Guidelines for Paper Submission

The IconSpace2011 proceedings will be published by IEEE and all the papers will be archived in the IEEE Xplore and indexed by Ei Compendex, IET InsPec (ISI Thomson).

Authors are encouraged to submit full papers describing original, previously unpublished, complete research, not currently under review by another conference or journal, addressing one of the topics/area interests. The full paper should be including concise title, author’s names, affiliations, e-mail address, figures/tables, acknowledgements and references. The abstract should be consists of a brief introduction, rationale, approach/methodology, results/expected findings of the work undertaken and a list of key references. Authors must comply with the IEEE instructions that can be found here, or see the sample paper here. The templates for full paper can also be found at the IEEE website. Use the following guideline to guide you through the paper preparation.

  • Papers should be in English
  • A4-size paper must be used
  • The maximum length is strictly not exceeding 6 double-column pages
  • The additional page and paper charge is USD 100 per page and USD 300 per paper
  • Abstract must not exceed 350 words
  • List of 3~5 keywords
  • Final full paper must be submitted electronically in MS Word & PDF format.

Paper Submission to the IconSpace2011

For abstract and final paper submission, EasyChair  - a conference managing system – is to be used. Use the following step-by-step to guide you through the paper submission process.

1.    Register as EasyChair member

To submit paper(s), you are required to have EasyChair account. You can get one free of charges. Go to Submission page: http://www.easychair.org/conferences/?conf=iconspace2011. For first time user, please follow the guideline here to create a new account.

2.    Register the Final Full Paper

To submit a paper, click ‘New Submission’ on the top of page. New Submission for InconSpace2011 will be appeared. Follow the instructions, step by step, and then use the “Submit” button at the bottom of the form. The required fields are marked by (*). More information about submission to IconSpace2011 can be found in the call for papers.

In the submission page, for each of the authors please fill out the form. Fill in the title, keywords and abstract fields, the select a suitable Topic Group. If you are the author add yourself as author. Afterwards, you will able to add co-authors. Submit this information and you will be receiving a paper number on the top of page. If at that time you only submit an abstract, you can later update the information, update authors, submit a new version and withdraw the paper by click your paper number.

3. Upload the Full Paper

For proceeding preparation, the conference chair will ONLY receive the paper in PDF format. Therefore, the PDF file submitted must go through the IEEE PDF eXpress compliance check. To access IEEE PDF eXpress service for IconSpace2011, click the logo below.

  1. Access the IEEE PDF eXpress site. Enter iconspace11x for the Conference ID, email address and password. Click "New User - Click Here" for first time user.
  2. For each conference paper, click "Create New Title".
  3. Enter identifying text for the paper (title is recommended but not required)
  4. Click "Submit PDF for Checking" or "Submit Source Files for Conversion"
  5. Indicate platform, source file type (if applicable), click Browse and navigate to file, and click "Upload File". You will receive online and email confirmation of successful upload
  6. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.
  7. Submit your PDF compliant to EasyChair with PIDxx, where xx is seven digit number. Please ensure that your file is not password protected.
  8. It should be noted that you should use the paper ID given by Easy Chair to submit the final paper, as given during abstract submission.

Follow the instructions sent via email to upload your full paper (manuscript) in PDF format via a web or ftp link. You should receive an email notification upon successful upload.

After your paper has been uploaded, you will find at the top of the page, paper status showing format of the paper uploaded. If the uploaded paper does not meet the IEEE standards (template link given above), then an error message will indicate that the prescribed format has not been followed. Then, upload a revised PDF version in the same way that you used for the previous version. Please do not register and submit a new version as if it were a separate new paper, since this will duplicate the paper registration records.

4. IEEE Copyright Form Submission

After complete submitted your final full paper, please fill in and submit the IEEE copyright form ('right click and save') by e-mail to This e-mail address is being protected from spambots. You need JavaScript enabled to view it , or you can attach the file during the final paper submission. The form can also be downloaded at IEEE homepage (Viewable and printable versions of the IEEE copyright form).
