Graduand’s Robe Collection Procedure

1.

There will be TWO (2) locations for gown collection as below:

  1. TUN FATIMAH HASHIM BUILDING, UKM – For all graduands EXCEPT for Postgraduate Diploma in Education (DPLI) graduands from Faculty of Education (FPEND).

On the collection day, graduands must ensure to:

  1. Bring along the Graduate Tracer Study Survey (SKPG) Slip*;
  2. Bring along the Gown Collection Conformation Slip* after confirming attendance via the UKM Convocation System; and
  3. Bring along the Student Matric Card/ Malaysian Identity Card/ Passport*.

3. The collection of graduation gown will commence from 11 NOVEMBER 2025 TO 21 NOVEMBER 2025 according to the schedule determined for each faculty/ institute/ centre. Graduands are strongly advised to adhere to the collection schedule as follows:

The gown collection counters will operate daily from 9.00 a.m. to 5.00 p.m., EXCEPT on Friday, where the counters will be closed from 12.15 p.m. to 2.45 p.m.

During the gown collection session, only graduands or their representatives are allowed to enter the designated gown collection rooms. Parents, spouses and children who are present may wait at the waiting area provided.

Collection by representatives is permitted. However, each representative may collect a maximum of THREE (3) sets of gowns only, including their own. Graduands must ensure that the representative brings along the required documents as outlined in POINT ‘2’.

   
7.

Graduands from Sabah, Sarawak and the Federal Territory of Labuan are given the flexibility to collect their gown outside the assigned schedule from 11 November 2025 (Tuesday) until one day before their convocation session. However, graduands are encouraged to appoint a representative to collect the gown according to the schedule.

   
8.

Graduands and representatives are responsible for ensuring that all items received match the details as stated in the Robe Collection Confirmation Slip. The items to be received are as follows:

  • Graduands Gown;
  • Mortarboard or Bonnet;
  • Invitation Card to the 53 rd UKM Convocation Ceremony; and
  • Convocation Card (MIFARE Card) OR RFID Tag**.

** Tag RFID hanya untuk graduan-graduan SIDANG 12 sahaja.

   
9.

Graduands or representatives are required to complete the Gown Receipt Verification Form upon collection. A QR code for this form will be provided at the gown collection counters. No exchanges will be permitted once the items have been collected.
