Scope of Work

▸Responsible for strategic planning and strengthening the governance and quality assurance of the entire academic management ecosystem at UKMShape. This role focuses on the sustainability of academic policies and overseeing the performance of units under the Academic Management Division to ensure alignment with university standards.

  1. Policy Monitoring & Governance
    • Ensuring the smooth implementation of and compliance with university academic policies and regulations at UKMShape for all managed academic programs.
    • Regulating divisional governance to ensure every operational procedure aligns with established quality criteria.
  1. KPI Assessment & Functional Effectiveness
    • Monitoring KPI achievement and evaluating the operational effectiveness of all units under the Academic Management Division to ensure a seamless student academic lifecycle.
    • Serving as the primary point of reference for resolving academic issues that require strategic coordination and decision-making at the divisional management level.
  1. Culture of Continuous Quality Improvement (CQI) & Quality Assurance
    • Implementing and fostering a culture of Continuous Quality Improvement (CQI) across all units to guarantee sustainable quality of delivery and service.
    • Coordinating the management of academic programs belonging to Faculties and Institutes to ensure ongoing compliance with MoHE, MQA, and university standards.
    • Coordinating the provision and maintenance of information and support infrastructure to ensure the smooth development and implementation of UKM ODL programs.
  1. Data Management & Strategic Reporting
    • Coordinating the preparation of comprehensive academic data by the Data Unit for strategic reporting to top management and Ministry requirements.
    • Ensuring the availability and integrity of academic data to support evidence-based decision-making.
  1. Strategic Stakeholder Coordination
    • Coordinating academic interactions between UKMShape and Faculties, Institutes, the UKM Academic Management Centre (PPA), and other internal stakeholders.
    • Ensuring effective and professional collaboration with external stakeholders.
  1. Customer Service Management & Academic Support
    • Ensuring compliance with service quality standards for functions under the autonomy of the Academic Management Division to guarantee effective and efficient service delivery.
    • Coordinating customer feedback mechanisms specifically related to processes and service delivery systems within the division’s jurisdiction.
    • Monitoring the effectiveness of communication channels and the academic helpdesk to ensure student issues are resolved efficiently.
